Why your coaching business feels heavier as it grows

You have clients, bookings and work coming in. Yet each new client brings more communication, more delivery hours and more financial responsibilities.

Your calendar fills up. Revenue may increase. But it becomes harder to tell who needs attention, how much capacity remains and what the business actually earns.

See where your people stand. Understand where your time goes. Know what your business earns and costs — and what you can responsibly take on next.
GTG founder
I help coaches see the people, time and money behind their business decisions — so they can deliver well and grow within real capacity. A coach can build valuable programmes and attract new clients while still carrying every follow-up, appointment and financial decision in their head. GTG connects three operational views: who needs what, how much time delivery requires, and what each part of the business contributes financially. Together, they show what the business can support today and what needs to change next.

Growth becomes manageable when its real demands are visible.

Every new offer, campaign and client affects people, time and money. These three resources connect your first six GTG systems to daily operations and the decisions you make about capacity, delivery and sustainable growth.

01 · PEOPLE

Who needs attention — and who owns the next step?

Your business has prospects, active clients, former clients, partners and people who need follow-up. Their status changes as they move through the sales and delivery journey.

A usable CRM shows who each person is, where they stand, what was agreed and what needs to happen next. Clear responsibilities matter too: who replies, who sells, who delivers and who checks that nobody gets overlooked?

Sales and delivery pipelines make these handovers visible.

02 · TIME

How much work can your calendar actually support?

A one-hour session consumes more than the hour on your calendar. Preparation, travel, client messages, administration and recovery can all require time.

Your different 4C products also demand different levels of direct involvement. 1:1, group and self-directed delivery have distinct capacity requirements.

Knowing your available hours, committed hours and reasonable buffer helps you decide what you can promise before adding clients.

03 · MONEY

What remains after the work has been delivered?

Revenue tells you what customers pay. Financial reality also includes payment fees, direct delivery costs, software, rent, marketing, partners, contractors and taxes.

Some income arrives once; some recurs. Some expenses grow with every client; others remain fixed. Payment timing affects available cash.

Each product needs a clear view of its income, costs and margin, alongside the wider business budget and cash flow.

THE BUSINESS DECISION

Can your business support the next ten clients?

A new campaign could create ten buyers. That affects the people you must welcome and support, the hours you must deliver and the money available to fund the work.

Look at all three before deciding to expand a campaign, raise capacity, adjust a product or bring in help.

Start with one question: What would ten additional clients require from your people, your calendar and your finances over the next month?

ONE PRACTICAL EXAMPLE · PEOPLE → TIME → MONEY

Ten new 1:1 clients look like €2,000 in monthly sales. What else changes?

Imagine ten additional clients, each booking four one-hour sessions at €50 per session. The figures below are illustrative, so you can see how one sales decision affects all three resources.

PEOPLE · RELATIONSHIPS 10 clients

Ten onboarding journeys, active client records, scheduling needs, support questions and clear follow-up responsibilities.

TIME · CAPACITY 50 hours

40 one-hour sessions plus an assumed 10 hours for preparation, messages and administration in that month.

MONEY · CONTRIBUTION €1,600

€2,000 sales minus an assumed €400 in directly attributable costs; still before fixed overhead, tax and owner compensation.

WHAT THE NUMBERS REVEAL

10 clients × 4 sessions × €50 = €2,000 sales. With 50 hours of total work and €400 direct costs, €1,600 remains to cover overhead, taxes and owner compensation. That is €32 per hour of work before those remaining expenses.

Do you have 50 additional hours available — and does the remaining margin support the way you want to work?

Example only. Your pricing, preparation time, costs, working hours, payment timing and applicable taxes will differ. The aim is to reveal the connections before you make a capacity or growth decision.

Check your People, Time & Money system

Use your actual client list, a typical working week and your recent finances. Mark each answer as known, estimated or unknown. Unclear answers show where better visibility could improve your next decision.

People

  • Can you see every prospect, active client, past client and partner in one organized place?
  • Do you know each person's stage in the sales or delivery journey?
  • Are follow-ups and next actions recorded with clear responsibility?
  • Can you identify who needs attention this week without relying on memory?

Time

  • Do you know how many hours you can realistically work and deliver each week?
  • Have you counted preparation, support, administration and sales time?
  • Do you understand the capacity demands of each 4C product?
  • Could you accept ten new clients without disrupting existing commitments?

Money

  • Do you know monthly sales, collected cash and recurring versus one-time income?
  • Can you identify fixed costs, direct costs, fees and partner payments?
  • Do you know the contribution margin of your main products?
  • Can you estimate what remains after overhead, taxes and owner pay needs?

You do not need perfect records to begin. You need a trustworthy starting picture of what is known and what still requires checking.
